Rules for the installation, inventory, maintenance, software updates, and servicing of computer equipment entrusted to employees for remote work
Installation of hardware and software: Before handing over the computer equipment to the employee, ensure that the equipment is properly configured. It is also important to ensure that the employee is equipped with the necessary tools and programs that will enable them to perform their duties. See the CUI guidelines for configuring equipment for remote work.
Inventory of equipment: The computer equipment provided to the employee must be thoroughly documented. The inventory should include information such as the serial number, model, manufacturer name, issue date (and return date), as well as details about all components and accessories. The way this information is processed should be in accordance with the procedures adopted by the unit providing the equipment (UPE).
Equipment maintenance: To ensure the reliability and efficiency of the equipment, regular maintenance should be conducted, including cleaning, system checks, software updates, and inspection of the battery, hard drive, keyboard, and other components. The schedule and scope of such maintenance are determined by the UPE.
Software updates: To ensure that the employee's computer equipment has the latest features and patches, system software and applications should be regularly updated. The update tool should be set to automatic or configured in a way that notifies the employee about the need to install critical patches. It should also be ensured that the equipment is protected from viruses and malware, and that the AV engine signatures are updated regularly.
Equipment service: In case of equipment failure, a quick and effective response is required. The user should report the issue to the UPE. The UPE staff member should provide technical support, attempt to repair the issue if possible, and, if external service is needed for repairs, actively facilitate the repair by contacting the assigned technicians. In urgent cases, the equipment should be replaced with a new one if UPE resources allow.
