How to create a workplace
We would like to remind you that any user in the organization can join a public team on their own and will have access to all files and conversations shared there.
Therefore, we recommend creating private teams in order to restrict access only to authorized users and ensure the security of shared materials.
Advantages of private teams:
control over who can join the team,
increased security and confidentiality of files and conversations,
ability to work on sensitive projects within a closed group,
reduced risk of accidentally sharing data with unauthorized persons,
better work organization – only people directly involved in the project are added to the team.
As of November 1, 2023, only Teachers/Staff have the ability to create teams in
MS Teams.
Students wishing to create their own team can do so through Helpdesk staff, upon a request from the student approved by the Director of CUI (via a submission on the portal https://zgloszenia.pg.edu.pl/). We remind you that teams may only be used for academic purposes.We inform you that any changes to data, names, and other modifications made in Microsoft 365 propagate in the system within 24 hours from the moment of their change.
Adding a new external user to a Microsoft Teams team, even after sending a welcome email, may take up to 24 hours. This is the time needed for the data to be fully processed in the system and for all functions and resources to be made available to the new user.
Attention!
Before creating a team in the MS Teams application, it is required to familiarize yourself with the team regulations available here. Creating a team is equivalent to accepting the regulations and agreeing to comply with them.
Starting Ms teams on the computer.
We can create a team in two ways. First, we select the Teams option from the panel on the left side of the application.
Next, we choose Create team from the main workspace or from the bottom bar.
A window will appear, allowing us to choose the type of team we want to create.
After selecting the team type, a window will appear that allows you to configure the team.
We need to name the team, this is a mandatory field.
We can add a short description of the team.
And set the team's privacy status.
Attention! When entering the name of the team, please ensure that it does not violate the regulations in any way. The name should not contain vulgar, inappropriate, or offensive content. The name must include the abbreviated name of the department and unit/chair, e.g., weti-kask-proper_name.
Next, we will add people who belong to the team. It is best to start typing with the last name. At any time, even after creating the team, it will be possible to add more people or remove current ones.
After adding people, an option will appear that allows you to set the status of individual participants.
A member has the option to only participate in the team.
The owner has the rights to edit the team, add, and remove people.
Attention! We remind you that the team owner is fully responsible for the actions carried out by all team members.
After creating the team, it will appear in the Teams tab in the main view of the Teams application.
Upon clicking the menu with three dots, a menu will appear that allows for editing and reconfiguring the team at any time. We can add another person from this level as well as by using the button Add member
With the team, we can communicate both through chat, as well as we can initiate a meeting using the button in the upper right corner.
Attention! The content created and stored within the team must not violate good manners, the legal order of the Republic of Poland, or the good name of the University. The team owner bears full responsibility for the content stored and shared within the teams.
