Information regarding space allocation within shared disk resources
We kindly inform you that the policy for space allocation on shared disk resources is under the exclusive authority of the Deputy Chancellor for IT – Mr. Andrzej Sobecki.
Therefore, any requests or questions regarding increasing available space should be directed directly to the Chancellor.
SharePoint can only be created by Employees.
A Student can create a group upon request from a PG Employee.
The currently available disk space is 100GB. Larger SharePoint sizes are only available upon request to Helpdesk with a validity period of no longer than 1 year, with the possibility of extension. Lack of extension means deletion.
After migration, the domains of accounts in O365 change, causing old links to stop working. You need to remove _o365 from the link. Unfortunately, the user's domain name is encoded in them.
Any group can be deleted after one year from the last login.
Currently, employees do not have the ability to create pages in SharePoint independently. They can only be created in connection with teams in MS Teams, where the system automatically adds the prefix “prac-”.
Before migration, there was indeed an option to create sites in SharePoint, but by the decision of the university authorities, it has been blocked. The reason for this change was the need to maintain control over the naming of sites and limit the occupied disk space.
All processes should be managed within one dedicated SharePoint site for a given unit. Access to individual resources is granted based on individual permissions, not for the entire site.
We inform you that any changes to data, names, and other modifications made in Microsoft 365 propagate in the system within 24 hours from the moment of their change.
We limit disk spaces in free accounts mainly due to MS limits.
Each group in SharePoint created independently by an Employee has the prefix prac-
and similarly, in case of the need to create a Student group, the prefix will be stud-.

It is essential to maintain the ability for Employees/Teachers/PhD students to create any groups independently. Since O365 allows for easy group creation, e.g., in Teams, SharePoint, Outlook, etc., which by definition have an email in the domain of the account creator (i.e., ultimately @pg.edu.pl), for security and image reasons, we cannot allow the creation of groups with arbitrary names. For example, anyone could create a group named [group].[department]@pg.edu.pl or [group].[administrative unit]@pg.edu.pl and use it to impersonate a Unit or Department. For this reason, Students do not have the ability to create any groups independently. Groups created independently are also used for ad hoc activities (actions taken temporarily), e.g., as internal communication groups for projects.

Owner
Permissions: Full control
Description: Owners have the highest level of permissions. They can add, edit, and delete content and manage site settings, permissions, and structure.

MemberPermissions: Contribute
Description: Members can add, edit, and delete their own content and the content of other users within the document library or lists. However, they do not have access to site settings or the ability to manage permissions.
GuestPermissions: Read
Description: Guests have access to view content on the site but cannot edit or add new content.
When creating a group, we need the name and we can provide a short description of the created group
Please indicate the size of the space for the group/team
Managing occupied space can be done by displaying the metrics located at: pgedupl-my.sharepoint.com/personal/shortlogin_pg_edu_pl/_layouts/15/storman.aspx?root=Documents
In the page address, enter your short login in the designated field.
How to check your permissions:
Open the SharePoint site: Go to the site where you want to check your permissions.
Click the settings icon (gear): Located in the upper right corner.
Select 'Site settings': From the dropdown menu.
Go to 'Site permissions': Here you can see all groups and their permissions.
Check your membership: See which groups you belong to and what permissions they have.
