Changing the default visibility of the personal calendar (Outlook in the browser)

By default, the personal calendar is shared with all members of the organization (in this case, employees and students of PG) - but without detailed information regarding the entries in the calendar. This is not a bug, but rather a feature of Microsoft solutions.

To change this default setting, simply follow these steps in order:

  1. In your web browser (Google Chrome or Edge is recommended), go to the Outlook web mail client: https://outlook.office.com

  2. In the left toolbar, switch to calendar view:

  3. In the list of calendars, in the row with the personal calendar, click the three-dot icon and select the Sharing and permissions option as shown in the illustration:

  1. In the displayed window, locate the row titled People in my organization as shown in the illustration:

  1. Click on the available options list in this row and specify the setting as needed.
    The following settings are available:

  • Not shared - the calendar will not be shared with the PG community

  • Can view when I am busy - the calendar will be shared with PG members only regarding whether a given time slot is free or busy

  • Can view titles and locations - the calendar will be shared with PG members only regarding the occupancy of time slots, entry names, and meeting locations

  • Can view all details - the calendar will be shared with PG members with all details, including meeting participants

  • Can edit - the calendar will be shared with PG members with all details, along with the ability for any member of the PG community to edit

The settings described above pertain only to the general availability of the personal calendar for the PG community.
Regardless of these settings, the personal calendar can, of course, be shared with specific individuals from PG (named) at various levels of permissions.
