Microsoft Forms - creating forms

 

Microsoft Forms is a great tool for simple and moderately advanced applications, such as surveys, quizzes, registrations, or application forms. It is part of the Microsoft 365 ecosystem.

Log in to your account Microsoft forms (login reminder below in the dropdown section), and then you will be able to create forms and quizzes directly in your browser.

  1. Next we will be redirected to the Central Login Point of PG, where we enter the same short login and password again – just like for the Moja PG portal.

  • New Form

The New Form tab is used to create standard surveys, registrations, or forms without grading functionality.

  • New Quiz

The New Quiz tab is intended for creating interactive quizzes that can be automatically graded.

  • Quick Import

The Quick Import tab saves time by importing questions from existing files or forms. This feature is aimed at those who want to quickly create a form based on previously prepared data.

The Template Gallery in Microsoft Forms is a collection of ready-made forms, quizzes, and surveys that can be quickly customized to meet your needs. It allows for time savings and provides inspiration when creating new projects.

  • Each template can be edited by changing questions, answer options, themes, and settings.

  • Templates are ready to use and require minimal modifications.

  • Templates have an attractive visual layout and thoughtful questions, which enhances their usability.

Application: The Template Gallery is ideal for those who want to quickly create a form without the need to design it from scratch.

The admin panel in Microsoft Forms offers a wide range of features for managing forms and their usage within the PG organization and beyond. It allows administrators to oversee security, data flow, and feature availability. We will discuss several key features of this panel and potential pitfalls to watch out for.

The admin panel is a powerful tool that, in the right hands, significantly enhances the security and efficiency of using Microsoft Forms, but it requires caution, especially regarding data protection and access management.

  • The Excel file from MS Forms is located on the owner's OneDrive, who created the form.

  • Deleting data/overwriting data in the file may result in the loss of collected data.

  • Leaving full control to all users may lead to unintended changes in the forms or accidental deletion of data.

  • If forms are shared publicly without restrictions, they may be exposed to unwanted responses, spam, or access to data by unauthorized individuals. For public forms, I also suggest remembering to set the following fields as required: First name, last name, email address/phone number. This is for verifying the identity of the respondents unless the survey is meant to be anonymous.

Practical tips

  • Test the form before publishing – create a test form to ensure that all questions and settings work correctly.

  • Use question logic – you can customize the flow of the form based on user responses (e.g., redirecting to other questions).

  • Sharing results – after the form is filled out, you can share the results with respondents or keep them for yourself.

  • Regular audits: Check the settings of the forms and monitor what data is being collected.

  • User training: Ensure that individuals using MS Forms understand the principles of creating and sharing forms.

  • Implement a policy of restrictions: Default settings should limit access and sharing of forms solely within the organization.

  • Monitor limits: Plan actions to avoid exceeding response limits.
