Creating Work Schedules - in the Teta ME
Scheduling Schedules
Scheduling in Teta ME is intended for managers and specialists involved in work time planning, who have the profile of a Work Time Operator.
Manager has access to the application from the Subordinates and Replacements → Scheduling Schedules level.
Work Time Operator from the Work Time → Scheduling Schedules (Operator) level.
View from the Manager profile
Schedules are equipped with a mechanism for checking the compliance of the work plan with the working time rules adopted in the Labor Code for the following working time systems:
basic system,
equivalent,
continuous movement,
weekend work system.
After successfully passing the code verifications, the prepared plan can be sent to the HR department.
Building a Template, known as a Painter
Work time planning requires making changes to employee schedules, which can be accessed by the manager and the work time operator. Changes can be made cyclically or occur once, occasionally.
For the manager/work time operator to be able to save selected days from schedules in the template, they must have assigned employees who report to them. Employees should have default schedules generated. The easiest way is to automatically fill in the days with the most common hour values (e.g., 7:30 AM - 3:30 PM).
To fill in the values in the template, use the + in the upper left corner of the application, select the Add New option, and then fill in the required data for the configured type of day.
Each user can create a group of values in their own template that they will use most frequently.
Of course, you can remove an element that is unnecessary. For this purpose, there is an action marked with a trash can symbol on the element's options panel.
Planning Work Time
Please remember that when planning schedules, the number of Saturdays and Sundays in the month should match the calendar (notations: DW – day off, N – Sunday).
If an employee is scheduled to work on Saturday or Sunday, then another day of the week should include a day off marked as DW or N – to maintain the correct balance of days off.
Work time planning must begin before the start of the month.
The plan can be prepared for one month or for the entire settlement period.
The application displays all employees for whom work time needs to be scheduled. To start planning, simply select the dedicated template from the palette and paint it on the days that need to be scheduled accordingly.
The user has the following options available:
painting any single day (ability to click on a single selected day),
painting horizontally (multiple days for the same employee),
painting vertically (for multiple employees for the same day),
painting diagonally (i.e., multiple days for multiple employees at the same time),
painting vertically for all employees (by clicking on the calendar header).
If editing a single day is required, simply click on the selected day and use the edit option.
In case of needing to remove scheduled work time, you can use the Remove option (the so-called eraser). After using it, a free cell will appear in the schedule.
Reverting Changes Made
The user has the option to partially or completely revert changes made to the schedule.
To allow for the reversion of changes, the schedules for the employees must be modified.
The application has an option Undo, which allows the user to revert the last ten changes made to the employee schedules.
If there is a need to restore the initial situation in the graphics, you can use the Undo changes action, which will revert all changes for each employee for whom changes were initiated.
Sending schedules to TETA EDU
To send the schedule to the TETA EDU system, where it will be visible to the HR Center – Personnel Department, it must first be verified – the system uses the “Verify” icon for this purpose. If the system does not show any errors, we click the “Select and Send” icon.
Please remember that each month must be verified and sent separately.
First, we will verify the schedule.
Next, if the system does not show any errors, I will send the schedule to TETA EDU - where it will be visible to the HR Center – Personnel Department.
