Personal Data Protection Statements

According to the law and ZR 20/2018, access to systems containing personal data requires a prior declaration for the processing of personal data in the IT system. There are several different data sets - student data, employee data, scholarship data, candidate data for studies, etc. Each data set requires a separate declaration for the protection of personal data. In the case of expanding access in a given application, if the processed data belongs to the same set, there is no need to submit a new declaration (e.g., when a staff member of the Dean's Office receives additional permissions within the Dean's Office), but if the data belongs to a different set (e.g., a staff member of the Dean's Office is to receive access to the recruitment system), a declaration must be submitted.

The current template for the declaration of personal data protection can be found in Appendix 1.6 to ZR 20/2018. The editable version of this declaration for the selected system can be downloaded from the Repository. The declaration is issued by KJO1), the employee signs the declaration (on the reverse side), KJO forwards the declaration to the appropriate GUZ2), which, after granting consent, forwards the application to IOD3), from where it goes to ASI4). The granting of permissions is based on a report sent to Helpdesk by KJO.
