Completing the candidate's data

Completing the candidate's data

After logging in to the recruitment system, the candidate may complete their personal data, address data, and check messages related to recruitment.

Note

Before enrolling in a recruitment, the system checks whether personal data and address data have been completed. If either is missing, the Complete required data before applying window appears, informing exactly which data requires completion. The buttons in the window allow you to go directly to completing the missing data. Closing the window (Return to enrolment list button or the X) leaves the candidate on the recruitment screen.

Hint

We recommend that candidates enter data in lowercase (and not only in capital letters), in accordance with spelling rules, as after recruitment is completed the data is automatically transferred to the Moja PG system and presented in various documents. Example of correct data entry: Adam Przykladowy, Gdansk, etc.

Personal data

If you log in as a student or employee of Gdansk University of Technology with a Moja PG account and then enter the Personal data tab, the following message will be displayed:

Data synchronisation with the Moja PG Portal is in progress. Personal data should be updated within several seconds. If you want to interrupt it and enter the data manually, click: Cancel.

Personal data will be supplemented in accordance with the data in the Moja PG system.

Candidates who created the recruitment account from scratch will only see the fields in the Personal data tab that were required when creating the account.

Personal data

Click Complete personal data at the bottom, fill in the data, and tick the checkbox at the end of the form.

Fields marked with an asterisk are required; all other fields are optional.

As a contact telephone number, the candidate provides a phone number including the area code - a foreign telephone number is also accepted.

Note

The number for system notifications must be a number from a Polish mobile operator, as SMS notifications will be sent to this number.

The checkbox shown above must be ticked regardless of verification via Trusted Profile. The Trusted Profile only verifies first name, last name, and PESEL number. By ticking it, the candidate declares that all other personal and address data provided is accurate. Without ticking it and providing all required data, the candidate will not be able to save their personal data.

Hint

As when completing the form, when setting up an account, foreign candidates who do not have a PESEL number in the citizenship field select their country of origin (a hint will be displayed after entering the first letters). After selecting a nationality other than Polish, an option to enter the Pole's card number will appear below this field. If the candidate does not have a Polish Card and does not have a PESEL number, select the I don't have a PESEL number option and then select one type of identity document from the drop-down list and complete the series, number, expiry date and country of issue of this document.

If the data is not completed, the system will not allow the candidate to generate the document printouts to be submitted to the recruitment committee after providing the recruitment data (if such documents are required).

Personal data can also be verified via Trusted Profile. Instructions on how to verify data can be found on the Creating an account for recruitment page, under the Verifying personal data via Trusted Profile tab. Verifying data via Trusted Profile allows the candidate to complete the recruitment process without having to appear in person at the designated time to submit documents and be enrolled on the list.

Verification of personal data via Trusted Profile is not a required part of completing the account data.

Note

Underage candidates who do not have their own Trusted Profile are asked not to complete the account data with another person's data (e.g. a parent's or guardian's).

Address data

If you log in using a Moja PG account and data synchronisation occurs, as described in the Personal data section, the home address and correspondence address will be completed automatically. This data must exist in Moja PG before synchronisation. Candidates are required to provide a home address. A correspondence address may be provided if it differs from the home address.

Address data

When entering the home address, select the country name from the drop-down list and then manually complete the remaining fields. For a Polish address, entering the first letters of the locality displays a suggestion with available cities, together with their municipalities, counties, and voivodeships or regions. For a Polish address, the system also verifies that the postcode format is correct, i.e. XX-XXX.

After completing the address data, the Save button is available; clicking it saves the completed data and returns the user to the Address data view.
