The manual describes how to access, share and configure Outlook calendar functions.

Create and share a calendar

In the Outlook calendar system, work with shared calendars is done on additional calendars (i.e., additionally set up), which are separate objects from your personal calendar.
Your personal calendar, for privacy reasons, should not be shared with others.

To share your own (additional) calendar with others, do the following:

  1. While logged into the Outlook email system (outlook.office.com), in the column on the left side of the screen, on the navigation bar, click the Calendar item, as shown.

  1. In the menu on the left side of the screen in the My Calendars list, above the list of calendars, there is an option Add Calendar. Click on this option.

  1. In the window that appears, go to Create a blank calendar, fill in the name, personalize, select a destination for the calendar, and click Add.

  1. If the above steps were performed correctly, you have created a new calendar in your account, which you own.

You have full editing rights over this calendar, and you can also share it with others. You can also delete the calendar if necessary.

  1. In the list of your calendars, hover your mouse over the newly added one. To the right of the highlighted calendar, there is an option icon (with the appearance of three horizontal dots). Click on this icon.

  2. From the context menu that appears, select Sharing and Permissions.

  1. In the dialog box that appears, enter the email address of the person to whom you want to share your calendar.
    From the list of found people, select the intended person by clicking on him/her and give him/her permissions. After assigning a person to your calendar, you need to give him/her appropriate permissions. To do this with the person, expand the list and indicate the appropriate level of permissions (as required).

The following permissions are available:

  • Can only display time locked as busy.

  • Can only display the title and location of the event.

  • Can display all details, including description or participants.

Then confirm the operation with the Share button (or, if you made a mistake, delete the user with the trash can icon button). The indicated person will be assigned to your public calendar.

  1. Before saving changes to public calendar permissions, as well as after saving those changes, you can remove access permissions previously granted. If you need to do so, click on the option icon (with the appearance of three horizontal dots), re-enter the Sharing and permissions settings, on the right side of the window displaying permissions - at the height of the line relating to the person, click the trash icon.

The calendar has been made available to designated individuals at specific authorization levels.

Remember that mail administrators, as well as other employees of the IT Services Centre (CUI), NEVER ask you to send/provide your LOGIN along with your mail PASSWORD at the same time (or the PASSWORD alone) for any purpose (e.g. to confirm the validity of your account, to retrieve your data, to confirm your identity, to enlarge your mailbox, or to unlock your mailbox etc.).
Do not disclose your account password to any person!
